If you run your own truck — or a handful of them — you already know the diary problem. PMI here, MOT there, tacho calibration somewhere in the back of your mind, tyre checks when you remember. A wall planner works until you're on the road for a week and the office is you.

HGV Time Pilot already handles drivers' hours and tachograph compliance in one account. Vehicle safety & compliance extends that same login to longer-cycle vehicle roadworthiness dates — with a clear per-vehicle tracker and email reminders before things slip.

This post explains what's in the tool, who it's for, and what it deliberately is not. It is not legal advice.

Who it's for

  • Owner-operators with one or a few vehicles
  • Small fleets where the driver or office staff need a simple due-date list on a PC
  • Existing HGV Time Pilot Pro users who already use walkaround checks, card import, or the compliance dashboard

It is not aimed at replacing large fleet maintenance or workshop systems — no job cards or document vault in this first version.

What it tracks

Up to four item types per vehicle — one of each:

How to find it

  1. Sign in to the web dashboard.
  2. Open ToolsVehicle safety & compliance.

Pro required — Free users see the card and can upgrade, the same pattern as walkaround history. Reminder emails include a link that opens the tracker directly (?view=maintenanceTracker).

Email preferences: PreferencesVehicle compliance reminders (on by default for Pro).

This tool is web-first — ideal for office staff on a PC. The Android app focuses on the live timer and card reader; vehicle compliance planning lives on the web dashboard today.

A quick walkthrough

1. Add vehicles

Open the Vehicles tab. Add registration and type — Rigid, Tractor, or Trailer.

The vehicle list is shared with walkaround checks — one registry per account, not a duplicate list to maintain.

2. Add compliance items

For each vehicle, set up the items you want to track. Per item you choose:

  • Next due date (calendar picker)
  • Repeat interval (number + weeks or months)
  • Optional notes — garage name, certificate reference, and so on

3. Status at a glance

Items are prioritised visually:

  • Overdue — due date has passed
  • Due soon — within the reminder window (up to 30 days before due)
  • OK — further out

Each row shows the due date, days remaining (or overdue), and the repeat interval.

4. Mark done

Mark done uses today's date as completion and rolls the next due date forward by the item's interval — for example, MOT → +12 months.

5. Edit or remove

Change due dates, intervals or notes any time. Deleting an item stops reminders for that item.

Email reminders

If you're on Pro and leave reminders enabled, the server sends gentle nudges at 30, 14, 7 and 1 day(s) before an item is due — and when it's overdue.

Each email names the vehicle registration, item type, due date and status, with a link straight back to the tracker. At most one email per item per day. Opt out any time under PreferencesVehicle compliance reminders.

The idea is a nudge before the garage date — not a panic email on the morning of.

What it isn't

On first use the app states this clearly, and it bears repeating here:

Planning aid only — does not replace statutory maintenance records (for example PMI sheets kept for 15 months) or your operator maintenance system. You remain responsible for vehicle roadworthiness and DVSA compliance.

Do not treat the tracker as a substitute for PMI paperwork, your operator maintenance system, or professional transport advice. Missed maintenance can feed into DVSA and OCRS scrutiny — this tool helps you plan and remember, not guarantee an outcome.
